Name the person who can approve work
Identify the owner or manager through the building’s existing process. Describe the symptom and any immediate hazard. The person who meets the assessor may not have authority to approve repairs. Record who can approve the initial investigation and how a change in scope will be reviewed, rather than treating access permission as an open repair authorization.
Explain what access actually exists
List any common equipment room, restricted shutoff or neighboring unit involved. Ask the manager which keys, notices and appointments are needed. A fixture inside your unit does not establish that its isolation valve controls a shared line. Do not promise an interruption or entry into another home that you cannot authorize.
Keep the decision small and written
Before the visit, confirm the investigation charge and its limits. After assessment, ask for the findings, proposed components, testing and exclusions. If an opening becomes necessary, define who authorizes it and who restores finishes. An initial scope should identify the next decision if the observed condition differs from the expectation.
Close the loop with the building
Retain the agreed scope, testing record and outstanding tasks for the manager.
